Our student Presiding Officers lead each KYA, but YMCA Staff, teachers, and volunteer advisors are always present to keep things running smoothly and safely.
Each delegation is required to bring at least 1 adult per 25 students, but no more than 1 adult per 10 students as we want to prioritize the space of our facilities for our students.
KYA programming is held at the Crowne Plaza Hotel in Louisville, KY. The majority of our hotel rooms will be at the Crowne Plaza, but additional rooms may be provided at nearby (walking distance) hotels based upon overflow needs.
Virtual programs will be held via zoom and links will be sent our pre-conference.
KYA Registration happens through a student's school and through the Advisor Portal. We recommend reaching out to your student's advisor for information on KYA registration.
Students in Grades 6-8 attend Middle School KYA. Your delegation may choose which KYA to attend based upon which dates work best for you on a first-come, first-serve basis.
Students in Grades 9-12 will attend High School KYA. Your delegation may choose which KY to attend based upon which dates work best for you on a first-come, first-serve basis.
Note: If your school has a Presiding Officer, you must intent and register for the conference in which they were elected. If you have a Presiding Officer but your school cannot attend an in-person conference please reach out to emilee@kyymca.org immediately to problem solve.
There are two sample agendas – one for Middle School KYA, and one for High School KYA – that will help provide information on the timing and flow of the assembly. They are located in the Advisor section of our KYA Resources folder:
We have schools from all across the state attend each conference. If you're interested in connecting with another school in your region, contact your Director of Program Outreach.
- All visitors must visibly wear a KYYMCA Visitor Lanyard at all times and return it upon departure.
- Visitors must be at least 19 years of age. Anyone 18 years of age or younger (ie. fellow students, siblings, etc.) are permitted to visit during candidate speeches on the first night and closing session on the final day. These visitors must have a guardian accompany them and sign in as a visitor.
- Visitors must remain with the school’s advisor at all times.
- Visitors are not permitted on sleeping room floors.
- Visitors are not permitted before or after program curfew.
- Visitors are not permitted during mealtimes, mandatory fun time, or free time unless approved by the Conference Director.
Our goal is to always create a safe environment for our teens. If a participant has a fever of at least 100.4 and/or vomits at least twice, they will be required to go home from programming.
A plan will be made to quarantine the ill student.
Most items are available for pickup at the Y-desk during the conference. After the conference ends, Y-Staff turn in all left items to the hotel for their Lost & Found Department to take over. We recommend reaching out directly to the Crowne Plaza to check their lost and found.
