KUNA Pricing
Costs for KUNA
- Student Y Member in a room of 4-5= $290
- For rooms of 3 or less, an additional charge of $139 will be incurred.
- Non-Student Y Member in a room of 4-5 = $300
- For rooms of 3 or less, an additional charge of $139 will be incurred.
- Adult in a room of 2 or more = $155
- Adult in a room of 1 = $300
- Advisors may receive a $155 discount for every 15 students registered for their conference.
This pricing all contingent on their being enough actual rooms at the hotel once everyone’s choices are decided. Should there be capacity issues we will work with all involved to find acceptable solutions.
Gender, Societal, and interpersonal understandings of gender are evolving, and setting a specific policy about rooming at the conference level is likely to hinder as opposed to help your efforts to ensure the safety and happiness of your students. Each group will let us know how they are rooming their students according to their local school or organizing structure’s rules.
We will be happy to help or support in any way in dealing with any challenges you may have.
The safety and health of our students is the top priority of our conference, so we ask that as we return in person, please take care in your rooming assignments and make sure there are strong reporting structures in place should any student have a concern or feel uncomfortable. Let us know if we can assist in any way with this.
Special Notes About Pricing and Rooming:
KY YMCA is committed to inclusion for all and making rooming as flexible as possible for our schools and students. We are continuing to work diligently to be able to offer low-cost, accommodating, and inclusive rooming solutions in our programs.
- The student program fee is based on a four-person sleeping room. Rooming assignments are under the purview and responsibility of the schools/delegations. We understand there are times when creating only rooms of four may not be possible, due to a variety of factors. We are working towards accommodations within our online registration system, but these changes are large on the back-end. We ask you to continue to give us time and grace to have the system allow for all needs. If you incur unavoidable fees, please reach out to Danielle Hall (danielle@kyymca.org) to discuss possible solutions.Each delegation is allowed a limited number of rooms of three students, regardless of gender.
- If additional rooms of three students are requested, you will incur a fee of $139 per additional room.
- Rooms of one or two students will automatically be shared with one to two students from another delegation (they will not share beds with students from another school). If these students do not want to share a room with another delegation, an additional fee of $139 will be added per room.
- For every 15 students registered, advisors will receive $155 off of their registration.
- We also recognize some schools or delegations may allow for and/or need mixed-gendered sleeping rooms. Our current system does not automatically allow for this, but we are happy to accommodate specific rooming requests as needed. Simply reach out to danielle@kyymca.org to make changes.
How to Submit an Intent and Register for KUNA
STEP ONE: SUBMIT YOUR INTENT TO PARTICIPATE IN KUNA
Note: Each delegation selects the country or countries they choose to represent on a first-come, first-served basis as part of the KUNA Registration process. Please review the country representation chart, linked below, to know how many countries your school can represent. Please be aware that:
- Students in special programs (Candidates, Secretariat, ICJ, Media Corps, or Presiding Officers & Supporting Officers (except Committee Chairs) do not count toward your total ambassador numbers.
- No delegation may represent the same country 2 years in a row.

- Go to the left navigation Menu
- Select KUNA
- Under that select Manage School
- Select Submit Intent (fill out the form.
STEP TWO: UPDATE YOUR KUNA ROSTER AND ENSURE PERSONAL FORMS ARE FILLED OUT
Note: Don't wait until space runs out! Reserve your space at KUNA as soon as possible.. Intents and International Court of Justice requests are processed on a first-come, first-served basis. For intents,we have a policy of a 15 decrease and 15 increase Person Flex; meaning your intent numbers cannot increase by more than 15 or decrease by more than 15 people during the registration process. Please note that there must be at least 1 adult per 25 students and no more than 1 adult per 10 students attending the conference.
If you realize in the time between hitting submit for your intent and before your registration opens, please reach out to anamarie@kyymca.org to see if we can get additional students into the conference. We encourage growth within your delegation but want to be sure we can accommodate the number of participants intented for each conference. No guarantee will be made outside of this Person Flex as we book our venue space based on the number of intents.

- Start checking to ensure anyone attending is on your list and there only once and that they have filled out their health, info and KUNA Code of Conduct forms
How Attendees Can Find and Submit their Forms
Click here to set up an account and/or log in. All three forms are good for an entire school year, so just fill them out once and you are all set for every program you participate in until next July!
Parents may fill out forms for their student by logging into the portal. Then they should:
- Go to the left navigation menu
- Select KUNA
- Under that select overview (start here)
- Scroll down to the chart with your child’s name (if you do not see your child's name email aly@kyymca.org
- Click the links to fill out the forms
- As the forms are completed green check marks will appear
Students, Chaperones and Advisors who will be attending KUNA should log into the portal:
- Go to the left navigation menu
- Select KYA
- Under that select overview (start here)
- Here you will find a checklist of your forms (green check marks will appear once the forms are filled out)
- Below the checklist are links to the forms.
While in the online portal, can also submit other forms such as:
- Needs Based Scholarship Application (this optional application can be filled out through a student or parent account)
Awarded scholarships come in the form of a percentage discount which can be applied to almost all KY YMCA programs for an entire school year! - Student Y Membership Registration (optional, check with your advisor to see if you should purchase this directly through the Y)
STEP THREE: MANAGE STUDENT Y MEMBERSHIPS (OPTIONAL)
NOTE 1: This step is not required, however to run a Candidate for Presiding Officer, your delegation must have 100% membership.
NOTE 2: Students may purchase memberships directly through their own portal links if you prefer to collect this payment.
- Go to the left navigation Menu
- Select KUNA
- Under that select Manage School
- Select Manage Student Y Memberships
- Click on the small box next to any student for whom you would like to purchase a membership
- Check that the box at the top reflects the number of students and the amount for which you are willing ot pay for memberships and click submit
- An invoice will be emailed to you by a staff member around the 15th of month.
STEP FOUR: REGISTER YOUR DELEGATION FOR KUNA (STARTING ON JANUARY 21)
Once you have been notified via email that your KUNA Intent has been approved AND registration has opened, Advisors may begin registration through the online portal. There will be videos and other support available to help you. In addition, your registration saves as you go, so you can complete it over several days. Before submitting, save or print any relevant info (rooming, rosters, bills, etc.) For your personal records.
Due at submission are all roster assignments, rooming, and resolutions. Failure to submit these by the deadline may mean that your materials do not make our bill book and/or loss of reserved spot for the conference as we may have a waitlist. Before submitting, save any relevant info (rooming, rosters, resolutions, etc.) outside the Advisor Portal; it will be unavailable after submission.
STEP FIVE: SUBMIT YOUR PAYMENT
After submitting your KYA Registration, your information will go to our Office Staff for review to ensure all discounts and scholarships are correctly applied. You and your school's bookkeeper (if applicable) will then receive a final invoice. If there are any issues with your invoice, please contact our Office Administrator Danielle at danielle@kyymca.org.

Collecting Payment from Students/Adults
Due to the nature of our programming, we begin using submitted registration numbers immediately following the registration deadline. Once a school's registration is submitted, any changes to your roster are subject to charges. We encourage each school to collect a $20 deposit more than four weeks prior to the conference, have $70 collected at four weeks out, and $140 collected at least two weeks prior to the conference as we will hold the school accountable for these fees as outlined in our refund policy.
